The short version
What is an apostille?
Document authentication confirms a Canadian document is genuine, by verifying the seal and signature of the authority that issued it — so it can be trusted outside Canada.
An apostille does this in one step. It is recognised between all members of the Hague Apostille Convention, which Canada joined in January 2024 — so a document carrying an apostille is accepted in any member country with no further embassy legalisation.
The certificate beside this is the Hague form itself — ten numbered fields, prescribed by the 1961 Convention. Every member country issues the same one.

For federal documents, most often the RCMP criminal record check. Global Affairs Canada issues the apostille. A mail-in service.

Provincial apostille (Ontario)
Birth and marriage certificates, educational documents, notarised copies. Ontario's Official Documents Services authenticates them, usually within 5–10 business days.

One apostille, no embassy
If the receiving country belongs to the Hague Apostille Convention, Global Affairs Canada issues an apostille certificate and your document is ready to use there.

Non-member country
Authentication + legalisation
If the receiving country is not a member, the document is authenticated and then legalised at that country's embassy or consulate in Canada.

The other route
Provincial apostille (Ontario)
For documents issued or notarised in Ontario, the province authenticates them through its Official Documents Services. We notarise at our office, submit your file to the provincial office in Toronto, and return it to you — usually within 5–10 business days.
How the provincial process works

Collect IDs & documents
We collect your ID and the documents that need to be apostilled.

Notarise & scan
We notarise at our office and make a scanned copy of each document separately, to attach to the application. Any original that must be apostilled is mailed to our Dundas office.

Originals returned
We return your original documents to you, except any that must be apostilled in original form.

Submitted for authentication
We submit your notarised documents to Ontario's Official Documents Services in Toronto, which issues the provincial apostille.

Pay & collect
You pay the Apostille (Inland-Express) fee, and your apostilled document is returned to you by pickup or courier.
Which documents qualify
Common examples are Ontario birth and marriage certificates, educational documents, and notarised copies. Not every document is eligible for a provincial apostille — check Ontario's current list before you send anything, and we will confirm.

Government fees are set by Ontario, and notary fees follow our notary rates — both are on top of the apostille fee. Extra mailing may apply for a foreign address (Canada Post or DHL); our Dundas office will contact you. Processing takes about 5–10 business days, including mailing.
